All vendors must submit a vendor application with a credit card authorization form, for damages. If any damage occurs, we will notify the vendor within 2 business days, providing visual proof. The vendor then has 3 days to respond before any charges are applied. All vendors must include valid license (if required), insurance (which will need to include Shahbain Farms and Event Center) and submit a copy of their ID for verification. 


 Caterers are fully responsible for food service and cleanup related to food, including trash removal and leaving the prep areas in clean condition. They must also comply with our insurance and liability requirements. 


 Yes, you are welcome to bring your own vendors, provided they meet our licensing and insurance requirements and follow all venue rules. 


 We welcome creative décor, but all decorations must be approved in advance. The following are not allowed: open flames, nails, glue, tape that damages surfaces, glitter, or confetti. Any proposed alteration to the space must be approved in writing by the venue before installation. 


 At this time, Shahbain Farms & Event Center is a rental-only venue. We do not currently offer vendor-inclusive packages, but you are welcome to bring in your own licensed and insured vendors. 


Absolutely! We provide customizable event packages that include options for venue access, decor, catering, DJ, event planing, baker, photographer, videographer, and more to suit your unique event needs.


We recommend booking as early as possible to secure your preferred date. Popular dates fill up quickly. 


 Yes, we can provide audiovisual equipment such as TVs, microphones, and speakers as an add-on service. Please let us know your needs when booking so we can prepare accordingly. 


 Yes, alcohol may be served at events, but service must fully comply with North Carolina ABC laws. The client (Licensee) is responsible for obtaining any required Special Occasion Permit. No alcohol sales are allowed without a proper retail license. 


 Each ballroom can accommodate up to 210 guests, and the venue as a whole is designed to host large-scale events. Contact us to discuss specific layout and capacity needs for your event. 


 We are proud to support our community. Please contact us directly to discuss eligibility for nonprofit fundraising events. 


 You must be 21 years of age or older to enter into a rental contract with Shahbain Farms & Event Center.


 All cancellations result in the forfeiture of the Security Deposit. If the event is canceled within 10 days of the event date, all fees paid will also be retained by the venue. 


 The Security Deposit is required to confirm your booking. It may be applied toward repairs or excessive cleaning if needed after your event. If no issues arise, the deposit is returned 30 days after the event. If damages exceed the deposit, the client is responsible for the additional cost. 


 Yes, rehearsals are allowed based on availability and must be scheduled in advance. Additional rental fees may apply for rehearsals outside of standard access times. 


 We are not responsible for items left behind after your event. Please make arrangements to collect all belongings before leaving. 


 

In accordance with Hoke County’s noise ordinance, all music must be turned down to a reasonable level by 10:00 PM. Guests should exit, and the event must conclude by 11:30 PM.

For cleanup and unloading:

  • All vendors and event items should be removed immediately following the event or early the next morning, before the cleaning crew arrives.
     
  • The building must be fully cleaned and returned in its original condition no later than 11:00 AM the following day.
     

If your event runs beyond the contracted time, there is an overtime fee of $320 per hour (or $6 per minute) which will be deducted from your security deposit or billed directly.

Failure to comply with these requirements may result in forfeiture of the security deposit.


 Yes, we have a large on-site parking lot with 197 spaces available for guests. Parking is included with your rental at no additional charge. 


 We accept cash, check, payment link, wire transfer, and online bill pay. All payments must be made according to the schedule outlined in your rental agreement. 


 Note: These policies apply to all contracts signed on or after July 20, 2025. Clients with contracts signed prior to this date should refer to their original agreement for applicable terms.
